How to impress your guests with original little details?

How to stand out and leave a memorable experience forever engraved in the hearts of your guests?

Show originality and sprinkle your wedding with delicate attentions that will surprise both children and adults! There are many sources of inspiration today… social networks, website, magazines, Pinterest… How to stand out and bet on originality? We give you a few ideas to work on and adapt to your tastes!

The arrival!

As a bride, you will be on the final preparations when the first steps of your guests will be heard on the gravel…. they are early!!! Yeah, because what’s worse than being the last one to arrive? This is the fear of each one of them. Needless to say that everyone will take a more or less important margin, so they won’t miss any moment of your entry! But here it is, they will have absolutely no right to watch, nor to admire all that you will have prepared. So making them wait turns out to be a good idea! The welcome drink, that’s your solution. In the summer, flavored waters, homemade lemonades and iced teas will refresh the congregation and avoid thirst during the ceremony! In winter, you can opt for cinnamon tea, mulled wine and Christmas cookies to warm up even the coldest guests. It’s also a pleasant moment where everyone meets and waits together to be invited through the door…

The ceremony

Of course, we do our best to guarantee a little shade around you and your guests… but we don’t command mother nature! And in Vullierens, even in the shade it can be hot… here again, your proactiveness and kindness will be noticed and appreciated! Small bottles of fresh water, personalized fans, kleenex for mum (yes they will be useful ), sun umbrellas, mist sprayers, sunglasses, straw hat… all personalized with your initials… we are full of ideas!

The aperitif

Let’s celebrate!!!! The champagne is flowing, the glasses are clattering and everyone is wearing their best smile…. Being original in the refreshments is also possible and even very nice … Various spirits, vintage containers, Prosecco cocktail with citrus fruits, compete with ideas and inspiration, it’s time to dazzle your guests!

portes-des-iris-champagne

Let’s talk about the special attentions… Because the gardens and the gravel is very beautiful and bucolic… but not so much for the pretty shoes of the ladies! Think of the little bag of heel protectors to offer at the entrance, the pair of flip-flops that will do some good later, and in winter the good comfort plaid. How about we all put a pretty flower in each other’s hair?

The gentlemen will also be charmed by a barrel on which you can arrange for a cigar or whisky tasting.

Do you have any little kids among your guests? If so, think of them (and of their parents!) as well. Some ideas of activities that will allow everyone to fully enjoy our beautiful terraces and these good times. Bouncy castles? Yes, but not exclusively! Great creative workshops to offer as gifts to the bride and groom, outdoor games, orientation courses, treasure hunts… everything is possible in our 30 hectares of gardens, including a kingdom dedicated to children!

portes-des-iris-animations-enfants

Also think about the uniformity and visual identity that you will have chosen as a couple … Reception panels, table plans and workshop boards. What a pleasure for the eyes that the whole is combined with discreet reminders. Nowadays, ideas are flowing on social networks and it’ s up to who will have the most audacity for the table plan…tree, hanging leaves, world map, the possibilities are endless! It is imperative that the visual harmony of your wedding looks like you and that it can deliver a message that everyone will remember. Your date? The places you’ve enjoyed visiting together? Yes, but not only… Take all the time you need to think about it together!

The toilets

It might sound a little strange, but it is a common gathering place during a wedding… a place for chatting, make-up and hair adjustments!  What could be more delicate than to have pretty baskets filled with products that everyone dreams of making themselves beautiful again? Deodorants, combs, perfumed waters, hand cream with floral aromas, lacquer, a lot of rubber bands… enough to impress your friends with your altruism and we guarantee that the gentlemen will appreciate your gesture just as much!

The give aways?

Château de Vullierens produces 5 wines whose labels are surprisingly original, but can also be personalised. Your guests will be delighted to drink to your health and memories! Scented candles, honey pots, engraved wine stoppers, personalized cookies, but also personal creations if you feel like a DIY soul! Homemade toffee, homemade cookie kit, fruit jam, brandy… you can also differentiate between male and female gifts… Makeup remover embroidered with your two initials?

Time to say goodbye…

Because when the party’s going full swing, time flies! 4am is approaching and the first ones are already home… A final touch for the departure? The survival kit for the next day is always highly appreciated … as well as the little wink that everyone will have when they open their eyes the next day, to once again think back to the wonderful and unforgettable party they will have experienced at your side!

The thank you card

Receiving the card is always a pleasure, as well as the pictures to discover that usually go with it… but have you thought about the chocolate plate with your text engraved on it? Magnet to say thank you or personalized kaleidoscope? In short, billions of ideas to make your wedding a unique and magical moment!

Above all, we wish you much, much, much pleasure in these wonderful preparations and in the pleasure of discovering your nice treasures 😉

A ceremony to your image!

Whatever your faith, your beliefs, your values, you want a special ceremony! A moment that marks the official beginning of your life together and that will remain engraved in everyone’s mind for a long time.

EIGHT MONTHS BEFORE

9) Send the save-the-date to your guests

Take the opportunity to ask them if they have any special diets or allergies. This is important information to communicate to the caterer, so that he can propose adapted menus.

10) Book your caterer

And make a first appointment to elaborate and taste your menu.

11) Choose your outfits!

For the wedding dress, we advise you to allow enough time for at least 3 fittings. It will fit you like a glove 🙂 Same for the suit, allow enough time for possible adjustments. Take advantage of making your choice surrounded by your loved ones, these are often moving moments, you might even experience a few laughs during the first fittings 😉

12) Make your first preparation appointment with your coordinator.

You will be able to re-visit Portes des Iris and get to know the person who will be present on your wedding day. You will be able to ask her your first organizational questions, in order to start defining your day a little more. Following this meeting, we will send you a first plan of the event (nicely named “Event Order”) as well as a first floor plan. We will also provide you with contacts for possible missing service providers. And why not the list of hotels in the area to reserve rooms or transport companies for your trips?

13) Start planning your honeymoon

If you are going abroad, check the validity of your passports and make an appointment with your doctor for any necessary vaccinations.

SIX MONTHS BEFORE

14) Choose and buy the invitations

You can hire a calligrapher if you wish! Incredible artists can take care of all your stationery, from invitations to menu cards, to seating plans and guest seating cards (place cards). You can discover lots of ideas and our best contacts in our article !

15) Buy the bridesmaids’ dresses (and the groomsmen’s suits!)

Again, if you go to the store, it’s a great time if you can get everyone together! Take the opportunity to make an outing with those close to you, you will create beautiful memories! Allow at least six months to be able to order and have the clothes retouched.

16) Plan your animations and choose a Master of Ceremony

In order to have someone who will take the course of the day for you! This will allow you to fully enjoy your reception. This person will be able to organize the speeches and the animations, and coordinate them on D-Day (perhaps with a few surprises?). Some DJ’s are happy to take on this role, but you can also give this mission to one or more of your relatives (especially if you have large, multilingual or multicultural families). Need some ideas for your evening’s entertainment? We give you some examples !

17) Make an appointment with your celebrant

And define what you want for your ceremony. Even civil ceremonies can really be defined in your image; the fact of signing your union in a place other than a town hall / city hall allows you more flexibility. Dare, invent and create! Your officiant will advise you and help you collect all the necessary documents.

FOUR MONTHS BEFORE

18) Buy your shoes

Don’t forget to take them with you for the next fitting appointment so you can adjust the length of your dress. If you decide to wear heels, you should also bring some nice flat shoes! (although Portes des Iris has underfloor heating so you can walk around barefoot, even in the middle of winter). Just to go and take pictures in the gardens, you’ll make your life easier!

20) Start planning the day’s program

Draw up the program and plan each step (guard of honour after the ceremony, couple’s photos, cutting the cake, etc.). The designated Master of Ceremony will also have to make his own programme of entertainment (with your help or not) in order to coordinate the rhythm of the service with the caterer. Here are some tips for the timing of your day !

21) Make an appointment with your florist

You can even come back to Portes des Iris to talk about decoration on the spot. This will give you an idea of the spaces and allow you to plan the final result as precisely as possible. An opportunity to make a small point with your coordinator! Our set up in the Eloïse room is at your disposal for some table art tests…

TWO MONTHS BEFORE

23) Send the invitations

Send them 6 to 8 weeks before the ceremony and ask for confirmation within three weeks.

24) Buy your underwear

And plan your second fitting.

25) Meet your photographer

If he/she doesn’t know Portes des Iris and the Domaine, invite him/her to come to your last preparation meeting, so that he/she can stroll around the gardens. We would also be happy to welcome him/her at another date to show him/her around. If he/she knows about Domaine, discuss specific shots and the places you like best. In case you want to do group photos, bring up the subject, photographers often have great ideas to make it more fun for everyone.

26) Review the music selection (and animations?) with your band and/or DJ

Bring your list of favorite songs, but also the list of those you don’t like! Review the timing of the evening. Usually it is the band or the DJ who is in charge of the sound system in the reception hall and who brings one or more microphones for possible speeches. So go through the planning and the different animations, maybe you need music during them?

27) Enjoy your bachelor and bachelorette parties!

ONE MONTH BEFORE

27) Finalize the ceremony and reception sequence

28) Make a note of the confirmations in your guest list

Call people who haven’t answered yet and consider asking about food allergies again.

29) Determine your seating plan

We can recommend several websites or applications that will make your job easier!

30) Last preparation appointment

Take the opportunity to invite service providers who are not yet familiar with the Domain (DJ, musicians, photographer, videographer, etc.). You can also invite your Master of Ceremony and relatives who will play an important role on D-Day. It is good that everyone is comfortable with the venue and this will allow them to meet your coordinator, so they will know who to talk to on the wedding day (and to coordinate with her any surprises they wish to set up 🙂 ). Give your coordinator the list of suppliers ( including their contact details and those of your relatives involved in the organisation), your timings for the day and your seating plan; she will then update all the necessary documents.

31) Make an appointment for the final fitting of your dress

32) Write your vows 🙂

THE WEEK BEFORE!

33) Confirm the final number of guests

We need at the latest 3 days before (72 business hours) the final number of guests and the final placement of the tables.

34) Go get your dress

34) Check the last details with your photographer

Perhaps provide him/her with a list of the moments you would like him/her to photograph.

35) If you’re going on your honeymoon right after the wedding, pack your bags!

36) Take care of yourself!

Get some rest! All the preparations are behind you, your wedding day is in the hands of your service providers and we will be there to make sure everything goes smoothly. Take time for a manicure, a pedicure and why not a massage!

THE DAY BEFORE

37) Deliveries to Portes des Iris

Deliver your belongings and your decoration, or ask relatives to do so. (We will confirm if delivery is possible about 10 days before your wedding). If you come personally, you can take the opportunity to make one last point with your coordinator and already see the planned layout of your reception hall.

Now all you have to do is enjoy every moment and savour your day together at Portes des Iris!

Léa Margot, January 2020

Rehan and Gayatri’s destination wedding

While preparing amazing days for our 2020 Brides and Grooms, we are looking back to the beautiful events that took place during the last year at Portes des Iris.

In this article we’re sharing an incredible wedding that was celebrated during several days!

We first met the parents of the Bride, who were very involved in the organisation of the wedding, as the couple is leaving abroad. We are therfore very greatful to collect the impressions of the Mother of the Bride for a change, Mrs Shalini Bahadur. The whole organisation process was a very touching experience for us and we are more than happy to share the words of these very special clients!

Also discover a beautiful photo gallery at the end of the article !

Gabriel Oswald Photography captured the beautiful moments of these celebration days with much talent 🙂 as always.

Being an international family, what made you choose Switzerland as a destination for your daughter’s wedding?

“Actually, although we are ‘international’, we have very strong links with Switzerland and this area. We first lived here 29 years ago, and our daughter was born here. Then, after living in some other amazing countries, we came back to live in Switzerland 11 years ago. Our daughter graduated from school here, and renewed her connections with the country of her birth. Though she lives and works in London now, this is also ‘home’ to her and to us. And, it was her fiancé’s and her decision to get married in Switzerland.”

Did you have any particular venue style or other specifics in mind when you started hunting for the perfect place to celebrate this very special date?

“Whilst everyone wants a beautiful and if possible scenic venue, we were also expecting many family and friends from all over the world to come celebrate with us. So, as we looked at many different possibilities, the ability to host 200-odd guests comfortably was a major criterion.”

Do you remember your first impressions after visiting Portes des Iris with one of our event coordinator ?

“During our wedding venue hunt, our dear Swiss friend who has always shared a deep godmotherly bond with our daughter helped us very proactively with the wedding along with her husband, nudged us (strongly!) to visit Portes des Iris. And we are so glad she did. A beautiful sunny day, the rolling hills, lush countryside, a gorgeous venue alongwith the feeling of competence and class as confidently projected by the event coordinator gave us a feeling of having landed in just the right place. It was hence on the top of our shortlisted venues when our daughter and her fiancé came for the deciding look-see!”

We realize it must have been quite a challenge to welcome guests from all over, how many countries? Did you get help to coordinate all the logistic of lodging and transportation?

“I think we had guests from about 15 countries. We did the spadework for their travel ourselves, which combined with the well-seasoned travelers that most of them are, worked out very well.”

You were recommended 8 caterers at Portes des Iris to choose from, how did you find the other suppliers, the ideas for decorating, etc…?

“Organizing a wedding is a (beautiful!) journey. You start with some things known and most things unknown. And then, one thing leads to another and another … The wonderful part is that you meet many interesting people along the way, and know when you have found the right ones that will help you put it all together in the manner in which you have imagined things to be. We were very fortunate to have a superb team on board.”

We understood that the celebrations lasted more than one day, can you tell us more about it ?

“We are an Indian family. Our son had gotten married in Sonoma, California, last year. Hence, the wedding organizational experience was still very fresh in our minds. Much as we did then, we wanted to represent all aspects of who we are in the course of the wedding. And trace our journey and homes across the world at different points in time through the food we served too. We first had a welcome evening at our home for all our international guests, followed by an Indian evening of amazing food, music and dance at a beautiful vineyard. The final evening was at the Portes des Iris. Everything went off to perfection, each location made for a memorable wedding.”

A wedding is the perfect occasion to include tradition and custom, which one did you choose to incorporate?

“We incorporated everything that defines us – multi-religious, multi-cultural, respectful of all possible sentiments, and most of all, respectful of what the bride and groom wanted from this very important occasion. “

How would you qualify your experience with Portes des Iris event team? In which ways were we able to help in the organization ? Did we meet your expectations in term of service?

“We are full of praise for the Portes des Iris event team. From the word go, you gave us beautiful support, suggestions, confidence, and helped sew the whole experience together impeccably. Each of you are amazing – a venue can be very beautiful, but it is the event team that brings the occasion to fruition. Thank you from the bottom of our hearts. This was indeed one of the most important occasions of our lives, and we couldn’t have imagined better! “

Any special memories or anecdote you could share with our brides and groom-to-be? Any recommendation?

“This is a very special venue, looked after by a very competent team. It is a winning combination for any memorable occasion. Our recent bride and groom say, “Remember to enjoy your special day!”

A huge thank you to Shalini who took the time to answer our questions. This wedding will stay as a wonderful memory in our minds and will warm our hearts every time we think about it. We’re sending our best wishes to the newlyweds, may they live happily ever after together 🙂
